Transaction Search – Overview

Use the Transaction Search form to quickly find and manage billing activity across invoices, payments, adjustments, added credits (credits added to a patient account), and applied credits (credits used/applied to an invoice).

Quick filters

  • Transaction type: invoice, payment, adjustment
  • Date range
  • Bill Types: Medicare, Medicaid, Commercial Insurance
  • Payers, Clients, Patients
  • Contains specific adjustment or remark codes

Grid and layout tools

  • Advanced grid filters and grouping
  • Add/remove columns
  • Save and reuse layouts to streamline searches and daily work

More options menu

  1. Upload CSV: Upload a list of transactions to filter the grid to only those entries.
  2. Billing Trail: View all transactions linked to the selected transaction (e.g., pick an invoice to see all related payments, credits, adjustments).
  3. Order Transactions: Display all transactions linked to the order associated to the selected transaction (invoices, payments, adjustments, credits).
  4. Rebill: Batch process invoices for rebilling. After clicking Rebill, associated orders load in Update Billing Info by Order, update details and click Update and Bill to finalize in seconds.
  5. Transaction Summary: Summarize selected transactions with total amounts (calculator-style).
  6. Mark as Sent: Prevent reprocessing of the same invoices. Note: some processes (e.g., export to clearinghouse) auto-mark as sent; manual marking may be needed in some cases.
  7. Mark as Unsent: Use when an invoice needs reprocessing to ensure it is not missed.
  8. Account Management: Open the patient financial account for a snapshot of invoices, adjustments, payments, credits, and balances.
  9. Block Account: Block delinquent patients from using lab services.
  10. Payment Posting: Load selected invoices into the Payment Posting form (see Payment Posting topics). Note: disabled when multiple Bill To’s are selected.
  11. Payments Not Posted: Find payments imported from the clearinghouse (ERA 835) that are pending posting.
  12. Void Invoices: Cancel the selected invoices.
  13. Documents: Attach documents to the selected invoices.
  14. Comments: Add internal or invoice comments to the selected invoices.
  15. Cases: Associate existing or new cases to the selected transactions.
  16. Quick Edit: Make simple changes directly from the Transaction Search.
  17. Export EDI: Generate 837 Professional claims and upload to the preferred clearinghouse.
  18. Edit Client: Open the associated clients in Client Master to make changes.
  19. Edit Patient: Open the associated patients in Patient Master files.
  20. Edit Order: Open the order associated to the selected transaction.
  21. CMS 1500: Print CMS-1500 forms as needed. Usually when payer does not support electronic claims.
  22. View Order Charges: Display charges generated by the LIS for the order tied to the selected transaction.

Tip: Combine quick filters with saved grid layouts to create repeatable workflows for common tasks (e.g., unposted payments, rebill-ready invoices, payer-specific QA).
