Converting Requisitions to Orders
Convert requisitions to orders
Turn scheduled or pre-collected work into active orders in just a few clicks, individually or in batch. This applies to requisitions created in the LIS, submitted via the client portal, or received through EMR/HL7 interfaces.
What carries over on conversion
- Patient demographics and ordering provider(s)
- Tests/panels and special instructions
- Bill-to, payer/insurance, and diagnoses (ICD‑10)
- Priority, collection notes, and tags
- Report distribution preferences/destinations
The system assigns an accession number, applies routing rules, and initializes distribution settings.
Convert a single requisition
- Open Requisitions and run a search (filters: date, client/site, status).
- Select the requisition.
- Click Convert to Order.
- Resolve any prompts (e.g., collection date/time, collector, missing required fields).
- Confirm. Optionally print labels/requisitions.
Convert multiple requisitions (batch)
- Open the Multiple Orders or Batch Convert tool (from Orders menu).
- Search and select the requisitions to convert.
- Click Convert to Orders.
- Provide shared details if prompted (e.g., collection date/time), or apply per‑row values.
- Optionally print labels.
Validation and safeguards
- Completeness checks: Prompts for missing required data (e.g., DOB, ICD‑10, bill‑to).
- Duplicate prevention: Detects likely duplicates by patient/test/date rules before creating an order.
- Rules enforcement: Applies client/test availability, prior auth/ABN policies, and place‑of‑service defaults.
After conversion
- Orders appear in the Orders module with accession numbers.
- Labels, requisitions, and collection worksheets can be printed as configured.
- Distribution and billing rules activate per your settings.
- The original requisition remains for audit/history and shows its converted status.
Best practices
- Filter first to target the correct set for batch conversion.
- Verify bill‑to, payer, and ICD‑10 to reduce downstream claim edits.
- Capture collection details at conversion to streamline receiving.
- Use tags (e.g., “Home Draw,” “Stat”) for routing and tracking.
- For standing orders, periodically review schedules to ensure clinical appropriateness.
Troubleshooting
- Convert button disabled: You may lack permissions, or the requisition isn’t in a convertible status.
- Some rows failed in batch: they have alerts, address the issues to proceed.
- EMR/portal items: Treated the same as LIS‑created requisitions; ensure required fields are complete.
Permissions and audit
- Actions are role‑based; batch conversion may require elevated permissions.
- All conversions are audit‑logged (who, when, source requisition, new order/accession).
Tip: Save your common filter sets (e.g., “Portal Requisitions Today”) as a custom view to streamline the process.
