Transmission Logs - monitoring report and HL7 deliveries

Use Transmission Logs to review the details and outcomes of report deliveries and HL7 message sends. Each module has a log of transmissions that shows what was sent, where it was sent, how, and whether it succeeded.

What you can see (typical fields)

  • Date/time sent
  • Destination (e.g., configured client destination, portal recipient, HL7 endpoint)
  • Transmission type (how it was initiated)
  • Page count (for printed/faxed reports)
  • Status of transmission
  • User/source (who/what triggered it), order/test context

Transmission types (result/report delivery)

  • Additional Copy
    • One‑time, ad‑hoc copy of a report.
  • Inquiry
    • User manually sent from the LIS (e.g., from Result Inquiry).
  • Inquiry Online
    • Initiated from the web portal by an authorized portal user.
  • Report Rules
    • Auto‑generated by the LIS using the client’s configured distribution rules.
  • Instant
    • “On‑the‑fly” send directly from the report viewer.

These entries display the destination, method, number of pages (if applicable), and delivery status.

HL7 transmissions

  • Status values:
    • Delivered: Sent without error; no acknowledgment (ACK) received yet.
    • Confirmed: ACK received from the HL7 destination.
  • More Options (actions):
    • Resend: Re‑queue the selected HL7 message for delivery.
    • View trace/count: See how many messages were transmitted and their outcomes.
    • Download HL7: Retrieve the exact HL7 file for review/troubleshooting.

Typical workflow

  1. Open Transmission Logs for the relevant module/date range.
  2. Filter to the client/order/test or transmission type you’re investigating.
  3. Review the destination, type, page count (if applicable), and status.
  4. For HL7, use More Options to view a trace, download the message, or resend if appropriate.

Best practices

  • Start with broad filters (date/client), then narrow by transmission type or destination.
  • For Report Rules items, verify the client’s destination settings if failures recur.
  • Use “Additional Copy” for one‑off sends—avoid changing permanent Report Rules for ad‑hoc needs.
  • For HL7 “Delivered” items stuck without ACK, check the receiving system’s queue and network connectivity before resending.

Troubleshooting

  • Report not received by client: Confirm the entry exists, verify status, and requeue/resend if allowed; check destination configuration (fax/email/portal).
  • HL7 “Delivered” with no ACK: Download the HL7, share with the interface team, and verify receiver availability; use Resend after resolving.
  • Wrong destination: Cancel further sends, correct the client’s Report Rules/destinations, and re‑send from Inquiry or Result Viewer as needed.
  • Page count mismatch (fax): Reprint and resend; confirm the report template and print area.
