Email Notification Settings - recipients, subjects, and alert types

Use Email Notification Settings to choose who receives operational alerts and to preset the email subject line for quick recognition. Configure separate recipient lists and subjects for:

  • Timed Tests: reminders for tests that must be performed at a specific time (heads‑up to avoid being late).
  • STAT Notification: alerts for orders marked STAT to help ensure testing meets the preset TAT.
  • Web Portal “Contact Us”: forwards portal user inquiries to LIS staff via email.

What you can configure

  • Recipients
    • Enter one or more email addresses for each alert type (use a distribution list for coverage).
  • Subject header
    • Define a subject prefix/header per alert type (e.g., “XYZ Lab Notifications”). The system will use this header when composing emails.
  • Enable/disable per type
    • Leave blank to disable notifications.

Note: Timed and STAT alerts depend on correct test setup (timed/scheduled flags, STAT priority, and TAT definitions).


📘 Instructions: Configure Email Notification Settings

  1. Open Settings → Email Notification Settings.
  2. For each alert type (Timed Tests, STAT Notification, Web Portal Contact Us):
    • Enter recipient email(s). Prefer a team mailbox or distribution list.
    • Set the Subject Header (this becomes the start of the email subject line).
  3. Click Save.

Best practices

  • Use functional group mailboxes (e.g., chemistrybench@, statdesk@, portal@) instead of personal addresses.
  • Make subject headers distinct and searchable.
  • Keep PHI out of the subject header; details belong in the email body or secure portal.
  • Ensure TAT and timed test schedules are configured in test setup so alerts fire correctly.
  • Whitelist the LIS sender domain/address to avoid spam filtering.

Troubleshooting

  • No emails received: Confirm the alert type is enabled, recipients are correct, and outbound email settings are configured; check spam/quarantine.
  • STAT alerts not firing: Verify orders are truly set to STAT and TAT rules exist for those tests.
  • Timed test alerts missing: Confirm the test is marked as timed on the requisition check box Time Test Notification.
  • Duplicate emails: Remove duplicated addresses or overlapping distribution lists.
