Patient Accounts with Available Credit
Use the Account with Available Credit form to find patient accounts that have a positive credit balance. This is especially useful when a remaining credit may need to be reimbursed per policy.
Purpose
- Identify patients with unapplied credits.
- Prioritize follow-up actions: apply to open invoices or process reimbursement.
How to use
- Open the form and run a search to list patient accounts with credit balances.
- Review key details (patient, credit amount, last activity).
Take the appropriate action per your workflow:
- Apply credits to outstanding invoices (via your standard Payment Posting process).
- Initiate reimbursement for patients who have requested a reimbursement or credit has been unused for too long.
- Add internal notes and retain documentation for audit.
Best practices
- Verify the source of the credit (overpayment, adjustment, reversal) before acting.
- Follow approval and documentation requirements for refunds.
- Reconcile credits regularly to prevent aging credit balances and patient dissatisfaction.
